AI 101: Key considerations for organisations implementing AI

There has been a recent surge in businesses using Artificial Intelligence (AI). However, there are risks in acquiring and implementing AI tools which businesses need to address.

To help organisations navigate this, here are some key practical considerations to bear in mind throughout the AI tendering and integration process:

1. Considerations before and during the tendering process

  • Carry out due diligence. Organisations should involve legal and privacy advisors from the outset to identify and consider risks from different perspectives. Addressing these early can ease the negotiation process.
  • Consider the desired output. Consider whether the AI tool’s capabilities align with the organisation’s goals.
  • Carry out risk assessments. Using AI may involve processing personal data. Organisations should carry out data protection impact assessments and minimise data protection risks.
  • Review and negotiate. Once the risks are identified, begin negotiating with the AI provider. Ensure you address liability, indemnities, intellectual property ownership, and data protection in your agreements.

2. Considerations before integration

  • Run a pilot scheme. Before the AI tool goes live, run a pilot scheme to ensure the goals identified pre-tender are met. Identify and address any errors at this stage.
  • Run training sessions. Training is important. Organisations should ensure their stakeholders understand how and when to use the AI tools.
  • Update policies. Both internal and external policies, including cyber and privacy policies, should be updated to reflect the new AI processes and risks.

3. Considerations after integration

  • Monitor new legislation. AI is an evolving sector. Organisations should monitor any new or potential changes to legislation and consider how these may affect the AI tools.
  • Regular audits. Conduct regular audits, including bias audits, to monitor and mitigate errors, bugs and discrimination. Both internal and external user feedback can be helpful.
